Listing Templates

Location: Administrator - Export - Template - List or Administrator - Extract - Template - List

Privilege Needed: Administrator

Edit the Template.
Delete the Template.
Edit the Template Details.
Copy the Template.

Template Name - This can be any unique name the user wishes to assign the template.

File Type - This determines the format of output. The options are: Comma Separated Values and Fixed-Format. Comma Separated Values is a file format that has its fields separated by commas. If there are any commas in the values themselves, double quotes will be placed around the entire value. The Fixed-Format has no separating characters and each field is expected to be a certain length. 

Template Type - This determines what types of exports this template can be used for. Valid values are Time, Expense, People, Project, Organization and Approval Group.

Last Updated - Is the date when the Template was updated.

Updated By - Is the name and the user name of the person that last updated the Template. 


Copy Template

When clicking on the  Copy Template icon, the following is an example of what will appear. It is required to enter a new Template Name for the copied template.  The Copy Template option is recommended if you want to use and modify one of the standard Unanet templates. 

The details for the template can be edited by clicking on the icon for the template. 


Edit Template Details

Edit the Template Field.
Delete the Template Field.
Copy the Template Field.
The radio button is used in combination with the green arrows.

 

Insert a new field below selected field.
Insert a new field above selected field. 
Move selected field up one position.
Move selected field down one position.
The sort order of the exported or extracted fields.
Clear the data on the current form.

Records - The template can be divided into five Records: File Header Record, Group Header Record, Detail Record, Group Trailer Record and File Trailer Record.  

File Header Record - This is an optional record that appears only once at the top of a file. It can contain summed information, but any non-summed database fields used in it will be the from the last database read. In the web browser, this record will appear at the end of the data with the text label "FILE HEADER:".

Group Header Record This is an optional record that will repeat grouped by the fields it contains. In other words, when its data changes, it will be written and it will also write any detail records under it that are part of this group. It can contain summed information. It may be necessary to use hidden fields to force the correct grouping of a Group Header Record because you may not want to display all of the group by fields.

Detail Record This is a required record that repeats as often as necessary to display it's information. It can contain summed information and can be part of a group record (Group Header or Group Trailer).

Group Trailer Record - This is an optional record that will repeat grouped by the fields it contains. In other words, when its data changes, it will write any detail records that are part of this group and then be written out as a group footer. It can contain summed information. It may be necessary to use hidden fields to force the correct grouping of a Group Trailer Record because you may not want to display all of the group by fields.

File Trailer Record  - This is an optional record that appears only once at the bottom of a file. It can contain summed information, but any non-summed database fields used in it will be from the last database read. In the web browser, this record will appear at the end of the data with the text label "FILE TRAILER:".

Field Number - Is a number given automatically by the system when entering a field. 

Field Name - Is the name that the administrator has given to the field.

Source - Could be either, FIELD if it comes from a field in the Unanet Database, EXPRESSION if it contains a expression or CONSTANT if the literal value should be placed in the field. 

Value - Is the value of the Field, Expression or Constant. 

Length - The output will be truncated to this integer value. Also, for fixed-formatted output, fields will be expanded to meet this width.

Null Value - The user can specify a value to use whenever the data element is null.

Example File

The following image shows the feedback the user gets once an Export or an Extract has been done using the "Doc Expense" template displayed above. The file created is Comma Separated. Each line starting with "TRNS" is the Group Header Record. The lines starting with "SPL" are all Detail Records. The "ENDTTRNS" lines are Group Trailer Records and last displayed is the File Header Record.  Note: the File Header Record will be displayed at the top of the exported file.  

 


Copy Template Field

When clicking on the  Copy Template Field icon, the following is an example of what will appear. It is required to enter a new Field Name for the copied field.  


Changing the Sort Order of the selected fields

When clicking on the button, the following screen will appear. This is the order that the data will be selected from the Unanet system. Because your report may have different requirements for sort order, you can specify the desired order by moving the fields up and down on the screen using the arrows.  

 


Import Templates

The Unanet System comes with five templates; for Time, Expense, Person, Project and Organization respectively.

Custom made templates can be imported into Unanet by using the Template - Import functionality. Browse for the file you want to import and hit the submit button and the template will be imported.   Additional templates may be available for download from the Unanet web site (login to the Support area to see what's available).
