Important --> 3.2 Impacts to Existing Users <-- Important
Three different methods allow you to easily send reports produced by Unanet via email. Click here to see which method best suits your needs.
Access to functionality and data within Unanet can be controlled via a number of standard features, including user roles, project access restrictions and additional system property settings.
Create an export file for practically any input requirement for a target application!! This powerful capability can export organization, project, person, time and expense data. An Administrator can easily create custom templates for recurring exports. The number of fields that can be exported is greatly increased. You can include standard Unanet database fields or create customized fields as well, including concatenated fields, plugging in standard/constant values, summing fields, etc. Unanet also provides, at a nominal cost, standard templates for specific applications such as Great Plains, Solomon, Navision, Deltek’s System 1, Deltek’s Costpoint for example. Example: Create and save a template to export time information, including details about the Project Organization, Person Organization and Person, in a customized layout for your downstream system.
Import and manage electronic American Express Card expense items.
This new functionality enables you to load the Amex Credit Card transaction file into a staging area for
users to pull their own expense line item
details.
Example: reduce the time necessary to audit expense line items that are transferred from the Amex electronic file.
Import and designate custom names for user defined fields for the
Project Import
and the Person
Import.
Often, you want to include additional fields for your organization. Now you can include these fields and have them appear on the user interface.
Example: Import additional fields containing Project information. Display these new editable fields on the Project screen for you Project Managers. Include these new custom fields on exports using the enhanced Exporting capabilities.
Approval Group Import. This new functionality allows you to import Approval Groups and their list of Approvers.
Task Imports. This new functionality allows the administrator to import task information in addition to the existing project and organization import capabilities.
Add important policies to the wizards. By specifying the description clearly you can communicate to Una$ense users the policies by which they need to report. These messages can be displayed on all Wizards, and/or, you can display a distinct message on individual Wizards. Example: you have just changed the per diem from $30.00 to $35.00 and communicate this in a system-wide message.
For the time populate feature, a new button "Complete" and default project and task make the administrator’s task simpler. Unanet can now store a default project and task for each person, which can be used in conjunction with the Time Populate functionality. Example: Import default projects and tasks for all exempt people. Run the time populate and press the complete button. Time is now entered for these exempt people - and set directly to a status of Complete!
Command Line Import. This new functionality allows you invoke the various existing imports via a command line import option. This could be useful for automating the loading of data from an external source into Unanet without requiring manual user intervention.
Optionally e-mail a project note to team members assigned to the project. Example: create a project note of type "major issue" and select to have it e-mailed to all team members.
Search across projects for project notes. Example: search for all project note types of "customer requests - open" on all projects.
Print a timesheet with customized information for your organization in the lower section. Example: print a timesheet with signature lines and terms.
Select electronic American Express expense items from your personalized list for transfer into your expense report. Example: select the airline charges for automatic import into your expense report without keying from a paper receipt.
Prepare more accurate expense reports by reading your organization’s expense policies through the Expense Type description and/or a system wide message at the top of every wizard. Example: note that air travel can only be coach.
Enter expenses for a company car. This new Una$ense wizard enables accurate recording of company car expenses. Example: enter the mileage for personal use and company use for automatic calculation of expenses.
Ensure acceptance of entertainment expenses. Example: field for people indicating the name AND the title to be entered.
Enter VAT (Value Added Taxes). This will enable companies to identify amounts for reclaim from the foreign governments. Example: entering Canadian GST tax amounts enables collection of this information for reclaim.
Set the security rules for access to project notes. The project manager sets the business rules for this security as a combination of the "restrict view" rule and assignment of people and/or organizations to a project. Example: only people assigned to a "restricted" project will see any project notes associated with the project.
View the entire timesheet, not just the project time, when this option is set in the properties file for the entire organization. Example: organizations may want a project manager to see other work by individuals on the project team.
Task Imports. This new functionality allows the Project Manager to import task information in addition to the existing project and organization import capabilities.
Sharpen focus on the status of timesheets. The timesheet status report can now be produced by status (missing, inuse, etc.) using new selection criteria. The "missing" status now appears in the report. Example: run the timesheet status report to find only those individuals with a "missing" timesheet.
Replacing Export / Extract Functionality.
Notice to users that used the Export and Extract functionality in version 3.1 and prior.
Beginning with version 3.2, the export and extract functionality have been replaced with a much more advanced export capability. If you were relying on the export and or extract functionality, you will need to understand the new export capabilities -- as the legacy export has been removed from the product.
The new export functionality allows you to create and save custom formatted templates. These templates define the layout of the data to be exported. You will need to create and save new templates to match the export file layouts that you require. The output fields are no longer controlled by the export field properties.
To help facilitate this, we have included two standard templates (one for time and one for expense). These standard templates include all of the fields that were previously available (by default) in the 3.1 export. You can copy these templates and customize to meet your particular needs (e.g. reorder the fields, remove unwanted fields, etc.).
Additionally, you can now take advantage of some of the many new features (e.g. comma separated or fixed formatted output, custom sort order, summarization, addition of constant values, sophisticated expression support, and more). Keep in mind that you can also format the out put of specific fields (e.g. display dates in any java supported date format).
The move to 3.2 will require some familiarization with this new export capability if you were relying on it in a previous version.
