Time Adjustments

Privilege Needed: Administrator

Location: Administrator - People - List - <Choose the person's timesheets that you'd like to view by clicking the (timesheets.gif (157 bytes)) icon>. 

This feature allows an Administrator to edit Timesheets that have been EXTRACTED or LOCKED.

There are currently two mechanisms available within Unanet to make changes to historical timesheet entries (those that have already been extracted).   

This help page describes the Time Adjustment capabilities, which allow for adding or removing time for an existing project, adding new projects, changing bill and/or cost rate information, etc.  Using this mechanism, you can change data for a specific user, for a specific time period, and for a specific project.

A second adjustment mechanism available, allows for making mass changes to a specific user's cost rate information only (effectively a retroactive pay change), for a larger date range, potentially spanning several time periods and many projects.  See Retroactive Cost Rate Adjustments for further information about that functionality.

Clicking on the person's stack of timesheets (timesheets.gif (157 bytes)) icon is the first step in navigating towards the Time Adjustment screen.

To edit that person's information.
To delete that person's information.
timesheets.gif (157 bytes) To display a list of that person's timesheets.
To view that person's expense reports.
To enter a Retroactive Cost Rate change.

After you have clicked on a person's  (timesheets.gif (157 bytes)) icon, a list of their timesheets is display.  For example: 

 

Note:  For those Timesheets which have  a status of EXTRACTED or LOCKED, you will see a    icon next to it. You can not make any adjustments for any Timesheet that does not have this icon.  Once you click on the icon, the person's timesheet is displayed for the appropriate time period.  You can use the timesheet adjustment mechanism to Adjust Existing Entries or to Add New Entries.

For example if a Time Adjustment is needed for Jennie's Timesheet for Time Period 2/1/01 - 2/28/01, a click on   will display the time charged to this timesheet:


Adjust an existing time entry

If you want to adjust an existing time entry, click on   for the desired item to navigate to the Time Adjustment screen.

For example, if you would like to edit time charged to Fix Bugs on July 1st, simply click on the Fix Bugs project/task and a new screen will be displayed:

There are several fields that require data, as described below:

Post Date: the date that you would like to record the Time Adjustment.  This date must be within the date range from the first day of the Timesheet to today's date. For example, the Post Date for this Time Adjustment can be any date between February 1, 2001 to today's date.

Labor Category: Select the Labor Category you would like to apply to this Time Adjustment. If you would like to use the existing Labor Category, leave this field blank.  If the original entry had a Labor Category and you would like to adjust it to have no Labor Category, select "(NO LABOR CATEGORY)".

Location: enter a Location that you would like to apply to this Time Adjustment. If you would like to use the existing Location, leave this field blank.

Bill Rate: enter a Bill Rate that you would like to apply to this Time Adjustment. If you would like to use the existing Bill Rate, leave this field blank.

Cost Rate: enter a Cost Rate that you would like to apply to this Time Adjustment. If you would like to use the existing Cost Rate, leave this field blank.  Note:  If you are using Labor Cost Rate Dilution, there are minor changes to the behavior of this screen.  For more information of the impacts of Dilution on Time Adjustments, see the Labor Cost Rate Dilution help.

Bill Org: Select the Bill Organization you would like to apply to this Time Adjustment. If you would like to use the existing Bill Organization, leave this field blank.  

Cost Org: Select the Cost Organization you would like to apply to this Time Adjustment. If you would like to use the existing Cost Organization, leave this field blank.  

When you click on , the adjustment will be recorded and the timesheet is displayed with the adjustment:

 


Adjust time by adding new project/task, project type, pay code

To adjust time for a new Project/Task, Project Type or Pay Code, click on the icon - when displaying the person's specific timesheet --  to display a new row:

To save the new expense type that was created.
Go back to previous screen.

You are able to select any Project, Task, Project Type and Pay Code on the drop down list and enter the hours.  Because this is an Administrator function, you are not bound by the Projects and Tasks that are assigned to the person.

Once you have added or changed time, adjustment records are added to the system.  When removing hours from an existing entry, adjustments are generated to reverse out the original entry.  If you are changing hours or an existing entry (e.g. from 2 to 4), adjustments will be generated to reverse out the original 2 hours and a second adjustment record will be created adding the new total of 4 hours.  Capabilities existing in many reports to show Adjustments by Post Date, Work Date or to not show adjustment entries at all.

Note: If you are using Dilution, there is the potential to generate large numbers of adjustment records.  See Dilution Impacts on Adjustments for additional information.  Also note: the Cost Rate field may be unavailable for exempt user's if Cost Dilution is implemented at your site.  Again, see Dilution Impacts on Adjustments for additional information. 


Email Notification

The person who's Timesheet is being adjusted will receive an email notice indicating that his/her timesheet has been adjusted.  This email will look something like the email below::
