Export Menu

Displayed below are several versions of the Administrator Export Menu.   Anyone defined in the database as having Administrative User Privileges can access any of the menu items under Administrator Export.  Click on the menu below for documentation in that section.

The Export feature can be used to pull data out of the Unanet database in a custom defined format.  In order to define which fields you would like to select, you can create and save Templates.  These templates allow you so specify which fields to include, the order of the fields in the output format, any formatting necessary for a given field, etc.  Templates can also include non-database fields and sophisticated expressions as well.  Navigate to the Template menu item under export or extract to create and maintain templates.

Once you construct a template, it can be used in one of the various export screens.  Each export is focused on one particular type of data (e.g. time, expense, organization, project, or people).   To use a particular template, navigate to the appropriate export selection criteria screen (e.g. Export -- Time) and you'll see a list of time templates in that screen.

The Mapping menu item currently allows for the mapping of Unanet pay codes to an extern system's pay code scheme.  When defining a template, you can use the either pay code scheme if you have mapped pay codes.

Export vs. Extract

The difference between Export and Extract for Time and Expense, is that the Export does not change the status of any of the timesheets or expense reports. The Extract can change the status of a timesheet or an expense to EXTRACTED. The Export also allows for exporting data that is not yet completed. The administrator can select to export timesheets or expenses that are still INUSE, or currently in the Approval Process. The Extract only allows for the extraction of COMPLETED, LOCKED or previously EXTRACTED timesheets or expenses. The LOCKED status (see Auto-Lock property) is used if the Administrator would like to lock the timesheet record so that it can not be opened by the user again to edit, but to note that the timesheet also has not been extracted yet. It is used as an in-between status of COMPLETED and EXTRACTED.


Please note: Depending on what license key information you have (or what Unanet interfaces you have purchased), you may see different items under the Export Menu.  Below are the current options:


Generic Export menu 

If your system is configured with no special extract interface, you will see this Export menu option.  There may be just Time if you only have a UnaTime license, or both Time and Expense if you have both licenses.  Click on one of the sub-menu items below for more details.  


UnaLink Export (Navision) menu

If your system is configured with the UnaLink extract interface license, you will see one of several additional sub-menu options. The one shown here is Navision.  You must not only have a license for UnaLink for this to show up, you must also have your unanet.properties file configured to use Navision.  Click Navision below for more details.


UnaLink Export (Solomon) menu

If your system is configured with the UnaLink extract interface license, you will see one of several additional sub-menu options. The one shown here is Solomon.  You must not only have a license for UnaLink for this to show up, you must also have your unanet.properties file configured to use Solomon.  Click Solomon below for more details.
