Tasks

Tasks are available in Unanet to allow you to further break down and manage your project information.  Tasks can be optional, or you can require users to always select a task along with a project when recording time and or expense data.  Each task has it's own list of attributes that can be established and tracked.

Managing Tasks (Task Home)

Privilege Needed: Project Manager 

The example below shows a sample task screen once task data has been entered.  See the description below for the meaning of the various icons and fields.

pm_projects_list_pencil.jpg (454 bytes) Edit the selected task.   You can either click the radio button next to task you wish to operate on, or simply click the icon on that task's row.  This will allow you to edit all fields for one specific task.
pm_projects_list_edit_tasks_delete.jpg (535 bytes) Delete the selected task.  You can not delete task information if it has already been used on an expense report or timesheet.
pm_projects_list_edit_details.jpg (1303 bytes) Insert a task after the selected task (where the radio button is selected).
pm_projects_list_edit_people.jpg (1327 bytes) Insert a task before the selected task (where the radio button is selected). 
Move the selected task (where the radio button is selected) up one row.  
Move the selected task (where the radio button is selected) down one row.
pm_projects_list_edit_tasks.jpg (1255 bytes) Adjusting the numbering sequence (promotes a task -- and all of it's subtasks one level up).
Adjusting the numbering sequence (demotes a task -- and all of it's subtasks on level down).
Returns back to the Project List page.
More Functions Allows user to jump to any task related page or the project home page.

Selecting the Edit pencil (pm_projects_list_pencil.jpg (454 bytes)) will present you with an edit screen allowing for the manipulation of all fields for a particular task.  This screen will resemble the following:


More Functions

Once a task has been initially setup, a project manager can maintain additional details pertaining to the task.  The list below details the options available under this drop down list.  (The example above illustrates the --More Functions-- drop down list).

Menu Text Navigation Action
Project Home   Access the Project Home Screen to edit the Project attributes.
Task Home Access the Task Home Screen to edit the Task attributes of this Project. (This page)

Separator (No navigation functionality)
*Assign People Access the Assign People Screen to maintain the People assignments at a task level for this project. 
*Assignment Overrides Access the Assignment Override Screen to maintain the assignment data for assigned people.
Copy Tasks From Another Project Copies tasks from another project that the Project Manager has rights to view. Click here to view an example.
Delete all Tasks Delete all tasks on this project (and any associated assignments or overrides).
Edit All Tasks Allows the project manager to edit all attributes for all tasks on this project. See example below.

* Functions noted with an asterisk are not available on the project screen if your project is set NOT to allow assignments at the task level.  These functions will be available via the Project level -- More Functions -- menus.


Assign People

This page allows the project manager to maintain the task-level assignments for the current project.  It is only available on project that have the Task-Level Assignment indicator set to "Yes".  Additionally, if you are using task-level assignments, you cannot manage assignments at the project level.

You can pick multiple people and multiple tasks and assign them all at the same time using the page.  You can even filter the list of Available People by Organization or a best match on last name.

Notice the options regarding rates.  This option is evaluated when the save button is clicked, not when you move people and tasks to the Assignments box.

  1. Person Default Rates - makes the assignment with no override rate information (thus using the person's default rate if they have one).
  2. Labor Category Rates - makes the assignment using with rates overridden to match the person's default Labor Category Rates.

Below is an example of the Assign People page for Tasks.

Save the data on the current page.
Clear the data on the current page.
Returns back to the Project List page.
More Functions Allows user to jump to any task related page.

 


Assignment Overrides

Gives Project Managers the capability to view and change the assignment details set for each individual assigned in this project for any task.

There are several features worth noting on this page:

  1. Each Task/Person combination will have two rows of data:  one for their default values and another for their overridden values.
  2. If any override values are present, they will appear in red.  This allows you to quickly see which values in a list are overridden.
  3. When any rate value has an asterisk (*) before the actual rate, this indicates that the rate matches the Labor Category rate for the Labor Category that will be used.  If there is an overridden Labor Category, this applies to it, otherwise if the person has a default Labor Category, the asterisk applies to it.
  4. Location will always have "---" for the default row because location can only be specified directly on an assignment.

Below is an example of the Assignment Override page for Tasks.

Assignment Override Edit

Gives a Project Manager the ability to edit the Task/Person's assignment information.

There are several features worth noting on this page:

  1. Each person will have two rows of data:  one to list their default values and another to change the values (overridden values).
  2. If you select a Labor Category from the Labor Category drop down, its rates will appear in the bill and cost rate fields.  You can change them if you want, but remember, to use the person's default rate, you should blank this value out.
  3. This is the only place in the system (other than adjustments) where location can be entered.

Below is an example of the Assignment Override Edit page for Tasks.

Task Details

If you select the pm_projects_list_edit_tasks_form_detailIcon.jpg (544 bytes) icon for any particular task, you will be presented with a screen similar to the example below.  This provides a quick snapshot of Task details for a particular task.


Edit All Task Details

This option is available from the task level More Functions drop down list.  By selecting this menu item, you can view and edit all fields for the entire list of tasks on this project.  The screen will resemble the image below:


Copy Tasks

This feature allows you to setup a new project, that contains the same list of tasks as another project you have already created.  This may be particularly useful if you have a standard project / task template that you use for many projects.

Select the Project that you want. Click on the paste32.gif (1626 bytes). All the tasks from that project will be appended to your current project.
