Privilege Needed: Administrator, Project Manager, and Manager 

Location: User - Contacts - Add.   

Any user can search and view contacts.  Any user can also maintain their own contact information from their User Profile Page.  

The only difference is that the Link To button does not display on the Contacts Page if coming from the User Profile. Also, if coming from the User Profile page, if that user is not an Administrator, Project Manager, or Manager, then that user will not see the Organization button (which is used for associating a contact to an organization and assigning organization types).

Add/Edit Contacts

You will only see the Add option, if you are an Administrator, Project Manager, or Manger in the system.

Save Contact Information Save data on current form.

Reset Form Clear data on current form.

User Defined Fields

The Contact Page comes with an option for you to add up to 10 user defined fields.   You can also change any label on this page that is shown above.  To do so, you will have to edit your text.properties file. Click here to go to text.properties file. If this file does not exist in your properties directory on the web server, then create it.  The only requirement is that the file must start with 1 blank line and the parameters below start on line 2.  Add or edit the following lines to this file that you want to override.   Remember, any changes to this file, require that you stop and restart your servlet engine before they take effect.

Note:  If the customer.user01 to customer.user10 fields are left blank (as they are now), then they do not show up on the data entry screens.  This logic does not follow for the other fields.  The user defined fields are all strings, limited to 128 characters in length.

Purpose of the Link To Button

The Link To button is used to manually associate a contact with a user that already exists in the database as a Unanet user.  This is to help avoid entering duplicate information.  You can also break a link, by pressing the Link To button on a contact that is already linked, and then select the <<Break Link>> option at the top of the drop down list.  Below shows an example of the Link To Screen.  To create the link, select a Unanet user and press the Save button. 

If you have a user that is not showing up in the list, but you know is in the Unanet user in the database, that user is probably already linked.  The drop down list only shows the Unanet users that currently do not have a link.



 

Save Link Save data on current form.
Back To Contact Page Go back to previous screen.

Add Contacts

Location: User - Contact - Add - <type in contact information> - Link To - <choose person to link to> - Save.

As you can see, the name information is shown as display only.  All changes made to the name for a contact that is linked to a Unanet user will be carried over from the Person Page.

Assign Organizations To This Contact Gives the current user access to assign Organizations to this contact. Click here to view the Centers Screen.

Adding Additional Contact Information

Once you have entered a contact that has any one of the following entered (Address, Phone, E-mail, Organization Associations, or Project Associations), then your Edit Contact Screen layout should look similar to the following:  Press the edit.gif (123 bytes) icon to edit an existing Address, Phone, or E-mail record, or press the delete.gif (126 bytes) icon to delete it.  To add a new Address, Phone, or E-mail, press the respective button across the bottom of the page.

Assign Organizations To This Contact Gives the current user access to assign Organizations to this contact. Click here to view the Centers Screen.
Edit To edit the information for address, phone, or email.
Delete To delete information for address, phone, or email.

Search Contacts

Privilege needed: none

Location: User - Contacts - Search.

The three data entry fields (First, Last, and Nick Name) that can be searched on, search by whatever starts with what you type in.  They are not case sensitive.  The organization and project selection fields are not listings of all organizations and projects in the system.   They are the organizations and projects that currently have associations to contacts in Unanet.

 


List Contacts

Below is an example of listing contacts, either from pressing List under the Contacts Menu or by entering a specific Search Criteria.  All users that are displayed in BOLD, are users that are linked as Unanet Users.   If the user has the privileges to edit and delete contacts, the screen will look similar to below.  If the user has search and view privileges only, then the user will only see the view.gif (135 bytes) icon in the list below.
