Privileges Needed: Timesheet User or Expense User
The projects/tasks that appear in a users drop down lists on the timesheet and expense report must be defined on this screen. The purpose of the screen is to help minimize the number of projects that will appear in the drop down lists for each user, and thus reduce confusion and the amount of data that is carried around the system (improving performance). (This screen was previously referred to as the My Projects screen).
The list of available projects/tasks in the left window include any projects/tasks that have been defined as allowing self sign up and are currently open/active. The window on the right displays all the projects a user wants to appear in the drop down lists plus those that a Project Manager has explicitly assigned them to. Projects are added and removed from each window by highlighting that project and pressing the arrow icons.
If the user or the organization the user belongs to is explicitly assigned to a project by the Project Manager, the project will automatically appear in the window to the right. The user can not remove those projects from the right box and save the change. Also, if a user adds a project to their list and then a project manager subsequently overrides any of the default assignment information, the user can no longer remove that project from the right box. Projects that can no longer be removed by the user for any reason will have an asterisk next to them.
Certain projects can be set up by the Project Manager to be managed at the task level (vs. at the project level). For these projects, you may see multiple entries for a project with a distinct task shown in parenthesis. In this way, you can also manage which tasks appear in your task drop down lists as well.
NOTE: If you are using Una$ense, you may notice that some projects listed in your right window on the My Assignment screen still are not available for you to charge expenses against. This is because Project Managers can set up project to not allow expenses. See the project manager, and have the attribute changed, and then it will appear in Una$ense.
